Job Description

Tuesday-Friday 11 AM- 6 PM

Position Summary:
The Grand Prize Fulfillment Assistant performs a variety of administrative and clerical tasks.  Duties of the Assistant include providing support to the Grand Prize Fulfillment managers in daily office needs and managing the departments’ general administrative activities.

Job Functions:
• Answer, return and follow up calls to winners
• Provide general administrative and clerical support including mailing, scanning, faxing and copying
• Maintain accurate and up to date winner files- both electronic and hard copy
• Open, sort and distribute incoming correspondence
• Perform data entry
• Assist in resolving any administrative problems
• Prepare and modify documents including correspondence, reports, drafts, memos, and emails
• Distributes information kits for winners that include details about their prizes
• Maintains communication with winners to determine which prize option they intend to claim
• Coordinates ordering and shipment of merchandise to winners when merchandise is part of the prize fulfillment
• Assist with ongoing communication and correspondence with winners to keep them informed of the status of their trip opportunities
• Manages all flight, hotel, ground transportation, studio access, other group events/activities and meal arrangements for winners and their guests
• Maintain Office and Mail Supplies
• Assist in trip preparation as necessary to accurately prepare winner information
• Other duties and responsibilities as required or requested

Position Requirements/Qualifications:
• Knowledge of operating standard office equipment
• Proficient in MS Word, MS Excel and MS Outlook
• Excellent communication skills – written and verbal
• Ability to prioritize projects and strong problem solving skills
• Attention to detail and must be extremely organized

• Extremely detailed oriented
• Ability to multi-task
• Ability to work in a team environment
• Very flexible with an ability to adjust to many situations
• Wide-ranging customer service experience
• Bilingual (Spanish) is a plus
