OR Scheduling Clerk - Grade 6
Job Description
Under general
supervision, uses an electrocardiograph to record variations in the action of
the heart muscle for use in the diagnosis of heart ailments in an in-patient or
out-patient setting. Prepares graphs and reports. Performs various
related functions including clerical duties and maintaining equipment.
Responds to emergency situations as required.
Essential Functions:
- Analyze master
schedules to determine accuracy and appropriateness.
- Create, modify and
maintain profiles.
- Create and maintain
daily patient appointment schedules of TPMG physicians and non-physician
providers adjusting time segments in the PARRS II system indicating clinic time
and non-clinic time.
- Cancel, reschedule and
notify patients of appointment changes (if dept. policy).
- Create & maintain
master schedules, physician and non-physician work sheets in Microsoft Word
and/or Microsoft Excel.
- Secure, compile and
report statistical data.
- Participate in
intradepartmental meetings and act as liaison with appropriate personnel.
- Promotes service
through the client's eyes and using good judgment to serve clients promptly,
competently and in a friendly manner.
- Verifies and makes
corrections to the Master Schedule.
- Coordinates all the
surgeons' schedules in the main operating room, Out- Patient Surgery Center and
the Clinical office visits, determines the on-call surgeons' schedules, and
determines the blocks and holds for each surgeon as necessary.
- Make necessary
adjustments to the clinical and operating room schedule for the emergency
procedures/surgeries.
- Arranges for the
assisting surgeons for emergency procedures/surgeries.
- Coordinates radiology
procedures with the operative room.
- Coordinates private (non-Kaiser)
surgeon schedules with the operating room along with anesthesiologist requests.
- Interviews each
patient for his or her pre-operative visit.
- Assures that the
patient understands the surgery and the pre-operative
laboratory/radiology/blood bank instructions necessary to the surgery.
- Provide members with
information regarding Advanced Directives, State Disability, surgical co-pays,
and directs them to the appropriate resources.
- Coordinates blood
donation procedures with the Red Cross.
- Process all the
necessary paperwork related to the surgery.
- Must be able to
interpret and facilitate the surgeons' needs in an accurate and timely fashion.
- Verifies patient
medical coverage prior to the surgical procedure.
- Coordinates all
surgical supplies and pre-operative materials (implants, tissues, collagen
injections and surgical equipment) necessary to the surgical procedure.
- Arrange for Nuclear
Medicine testing.
- Facilitate all
non-emergent medical transport (ambulance) across campus from OPS to Radiology.
- Coordinates and
arranges for pre-post educational classes regarding surgery and its
impact/effect on the patient.
- Coordinates
comprehensive anesthesia pre-operative evaluation for high-risk patients.
- Utilizes Health
Connect for scheduling cases, tracking surgical information and messaging the
patient/physician/staff.
- Monitors FDBL's weekly
for all surgeon's under your scope
- Make changes to
department and provider schedule profile templates.
- Construct profiles to
include patient arrival times, provider station locations, varied booking
authorities, and appointment type conversions.
- Create and modify
facility provider list, facility activity list, and department and provider
identification numbers. -Prepare providers' medical appointment schedules.
- Assess impact of
provider voluntary time off requests based on facility appointment needs.
- Modify/adjust
providers' schedules.
- Review appointment supply
and demand by month and day of week; monitor appointment supply and make
modifications in provider-s schedules as requested; release demand-based
template options based on providers' clinic availability.
- Provides Department
Chief of cancellation requests and schedule impact.
- Contacts Call Center
Teleservice Representative with list of canceled patients; coordinates with
local Teleservice team to rebook provider driven appointments pursuant to
guidelines.
- Use PC-based tools to
adjust provider schedules and appointment supply
- Identify ways to
improve systems/processes.
- Assist with
implementation of new automated systems
- Collect pertinent
input data from appropriate sources; code and enter data into automated
scheduling system.
- Work collaboratively
with members and staff across all service lines.
- Function as a team
member to achieve Organizational, Departmental and Call Center
objectives.
Support the
Organization's, Department's, and Call Center's Customer Service Philosophy.
- Identify ways to
improve customer service.
- Assist staff to
resolve problems and complaints.
- Meet with supervisor
to identify educational needs and develop personal goals
- Perform other duties
as required.
- Complies with
department and regulatory standards with respect to: training and development,
communication, management of work, and safety
- Promotes cost
containment through economical utilization of resources.
- Willingness to work in
a Labor Management Partnership environment required
