WSP is currently initiating a search for a Marketing/Proposal Coordinator for our New York City or other major U.S. offices (Washington, DC, Austin, Denver, Portland or Seattle) to support the marketing and business development initiatives for our US Advisory practice. Advisory combines the firm’s infrastructure expertise and management consulting leadership to serve as trusted advisors to owners, operators, developers and builders of infrastructure across the globe. We guide our clients through solving some of their most complex infrastructure challenges by providing a unique combination of engineering principles, technology, and management consulting skills.

The ideal candidate will have experience in the A/E/C industry and has the ability to collaborate with a variety of staff including engineers, planners, consultants and technical experts to support the marketing team with proposals, qualification packages, presentations, capture planning, award submittals, resumes and project descriptions.
We are looking for an energetic, motivated candidate with strong people skills and excellent writing and communication skills to support our fast-paced workflow.
Duties and Responsibilities:
  • Support proposal teams responding to RFPs, RFQs, presentations, etc.
  • Coordinate all proposal materials (content narratives, graphics, text, forms and subconsultant material) into a polished, client-ready package
  • Develop marketing proposals and supporting materials; writing and editing of non-technical sections
  • Develop qualifications packages, resumes, project descriptions and other custom marketing materials
  • Facilitate marketing, proposal, pursuit planning and strategy meetings
  • Works as part of a team while serving as primary point of contact for local internal staff initiating work within the department
  • Follow the firm’s high standards for quality in all marketing deliverables
  • Other marketing duties as assigned

Job Requirements

We are looking for an energetic, motivated candidate with strong people, communication and organization skills. The ideal candidate can produce high quality materials under strict deadlines and manage pressure to coordinate multiple projects at once. We need someone who can manage projects and lead cross-functional teams with limited supervision. Writing, Editing and computer skills (Microsoft Office Suite) are required!
  • Bachelor's degree and preferred 5+ years of experience with a heavy editing, proofing, computer usage, and general marketing skills background
  • Strong communication, coordination and organizational skills (both oral and written), and editorial skills along with liaison capabilities and knowledge of business development procedures
  • Must have knowledge of procedures necessary to coordinate a proposal from onset/lead identification to conclusion (submittal of compliant proposal documents)
  • Strong attention to detail and time management skills
  • Ability to produce high quality materials under deadline pressure
  • Ability to work independently and as part of a team
  • Exercise responsible and ethical decision-making regarding company funds, resources and conduct and adhere to WSP’s Code of Conduct and related policies and procedures
  • Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies

Preferred Qualifications
  • Experience using Adobe InDesign for document layout, Microsoft Word and PowerPoint
  • Preferred experience in an engineering / architecture industry environment and developing proposals to government or transportation agencies
